There is no simple formula that works for all organizations. The recommendation is that you keep your copier for around 4 years, but not longer than 5 years. Other factors to consider are how many copies per month the device produced over the period of its operation as well as its general reliability.
When it comes to cost considerations, here are some questions you should ask yourself:
- What does it cost to operate the device on a month by month basis?
- After doing the math, does it make more sense to keep the one I have in service, or should I purchase a newer one?
- Are there any incumbent prices with my current copier? (Commitments to the end of the lease term, or any additional charges for terminating the contract early)
- Is it worth the higher operational costs for the additional features inherent in the newer model?
- Does upgrading to a digital copier provide added flexibility and improvement in productivity that offsets the increased costs via reduced labor costs?
Always remember that as a device gets older, they become fundamentally more useless. Even if your copier is in good shape, it is wise to plan ahead for the future.
