Any copier representative worth his salt will develop a contract that is both fair and reasonable. When we say reasonable, for instance, it does not make sense for a company to expose themselves to unlimited liability without a cushion. Unlimited liability and unreasonable contracts would say that they will provide you with unlimited prints and copies, while that is true, it is not entirely true. They probably will offer you unlimited prints/copies, but not without it hitting your bank or burning a hole in your wallet. Think about it, if they offered unlimited prints/copies under the notion of “no extra fees,” they would be out of business soon. Look at the hypothetical averages:
- Supplies – At $.01 per copy for the customer and $.007 per copy for the copier reps.
- Service – $0.004-$.007 per copy for the customer and $.003-$.005 per copy for the copier reps.
- The estimated total would be in the range of $.01-$.012 per copy for the copier reps, and $.014-$.017 per copy for the customer.
With this scenario in mind, your business prints an average of 5000 pages per month, and the copier rep would imply that you need to add supplies, maintenance, and copies of up to 8,000 a month. That is actually 3000 prints that you are paying for, but not using. If you elect to go for a smaller amount a month, overages would actually be cheaper because you are paying for something that you are actually using.
